1. IDENTIFICATION
The Flowdesk brand corresponds to the activity carried out by Catarina Antelo Paes de Vasconcelos, a sole trader, with Tax Identification Number 246699833, with its registered office in Torres Vedras, Portugal, hereinafter referred to as Flowdesk.

2. OBJECT
Flowdesk provides virtual assistance and administrative support services, which may include, among others:
- Email management
- Customer support
- Digital organization
- Administrative support
- Support for specific projects
Services will be defined in a proposal or service agreement signed between the parties.
3. HIRING PROCESS
Acceptance of the offer and signing of the contract/offer imply agreement with these Terms and Conditions.
4. SERVICE PLANS
- Individual hours
- Monthly hour allowances
- Bi-monthly hour allowances
- Annual hour allowances
- Special or one-off projects
5. PRICE LIST AND QUOTES
The price list will be available upon request via email.
The prices shown are subject to VAT at the legal rate in force in mainland Portugal (where applicable).
Quotes are valid for 30 days, unless expressly stated otherwise.
Flowdesk reserves the right to update the price list, by notifying the Client via email, with the update taking effect the following month.
6. PAYMENTS
Payments for time slots are made at the time of purchase, and no service will begin without confirmation of payment.
Individual hours will be invoiced at the end of each month, and payment must be made within the deadline indicated on the invoice.
Payment may be made by bank transfer or MBWAY, and is only considered effective after successful collection and confirmation of receipt of the amount in Flowdesk’s bank account.
Failure to meet payment deadlines may result in temporary suspension of services, cancellation of access to work platforms and, if the problem persists, termination of the contract.
7. SUSPENSION AND TERMINATION
Flowdesk may suspend services whenever:
- The Client fails to meet payment deadlines;
- The Client fails to provide information necessary for the execution of services;
- There is abusive use or inappropriate behavior.
Either party may terminate the contract by giving prior notice as defined in the contract.
No refunds will be given for services already rendered or hours already used.
8. OPENING HOURS
Services are provided according to the contracted package.
Hours may adhere to a pre-agreed schedule or be counted as a total of hours worked.
When applicable, a weekly or monthly report detailing the tasks performed will be sent.
9. FLOWDESK’S OBLIGATIONS
Flowdesk is committed to:
- Providing services with professionalism, diligence, and care;
- Maintaining confidentiality regarding all Client information;
- Complying with the terms contractually agreed upon.
10. CUSTOMER OBLIGATIONS
The Client agrees to:
- Provide necessary information, access, and documents;
- Ensure they have the legal right to share the provided data;
- Meet payment deadlines;
- Respect the limits of the contracted package.
Flowdesk is not responsible for delays resulting from the Client’s failure to provide information.
11. CONFIDENTIALITY
All information to which Flowdesk has access in the context of providing services will be treated confidentially.
Where applicable, a non-disclosure agreement (NDA) may be entered into.
This obligation remains after the termination of the contractual relationship.
12. DATA PROTECTION
Within the scope of service provision, Flowdesk may act as a subcontractor in the processing of personal data, undertaking to:
- Process data only according to the Client’s instructions;
- Implement appropriate technical and organizational measures for data protection;
- Comply with the General Data Protection Regulation (GDPR).
Responsibility for compliance with legal obligations as the data controller rests with the Client.
13. INTELLECTUAL PROPERTY
Unless otherwise agreed, all materials produced within the scope of the service provision become the property of the Client upon full payment of the amounts due.
Flowdesk reserves the right to mention the service provision in its portfolio, unless expressly objected to by the Client.
14. LIMITATION OF LIABILITY
Flowdesk will not be liable for:
- Strategic or commercial decisions made by the Client;
- Financial or commercial results;
- Technical failures of external platforms (e.g., social networks, digital tools);
- Indirect damages or lost profits.
Flowdesk’s liability is, in any case, limited to the amount actually paid by the Client for the services in question.
15. CHANGES
Flowdesk reserves the right to change these Terms, which will take effect upon notification to the Client or publication on the website.
16. APPLICABLE LAW
These Terms are governed by Portuguese law.
In case of dispute, the court of the district of Torres Vedras shall have exclusive jurisdiction.

6. LIMITATION OF LIABILITY
Flowdesk does not guarantee that the website will be permanently available or free from technical errors.
It is not liable for any damages resulting from temporary failures, interruptions, or misuse of the website.
